The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. This person should have years of experience working both in an office environment and remotely, performing administrative duties and supporting D level managers. Given the dynamic nature of the executive landscape, the EA needs to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
Here are the essential skills and qualifications required of an Executive Assistant to the CEO:
- Bachelor’s degree or equivalent experience in the relevant field.
- Minimum of three (3) years experience in an administrative role, preferably supporting executive-level management.
- Proficiency in Microsoft Office and Google Suite.
- Excellent written and verbal communication skills.
- Strong time-management skills and an ability to organize, coordinate and monitor multiple concurrent projects.
- Proficiency with office productivity tools and an aptitude for learning new software and systems.
- Possesses the ability to prioritize tasks and work independently in a fast-paced environment, managing competing priorities effectively.
- Flexible team player, willing to adapt to changes and unafraid of challenges.
- Discretion and the ability to handle confidential and sensitive information with utmost professionalism.
- Strong interpersonal skills and the ability to build rapport with individuals at all levels of the organization.
- Proactive, able to think outside the box and take initiative when circumstances require.
Required:
- Has an active driver’s license, able to drive within Cebu
- Must own a vehicle
- A resident of Cebu City
- Work remotely but will be required to report onsite whenever the CEO is in Cebu City
For this role, the duties and responsibilities are:
- Diligently manage and monitor the CEO’s emails LinkedIn and social media accounts.
- Ensure that the CEO has visibility to his daily meetings and appointments at the start of the day; and calendar his lunch break schedule.
- Schedule and coordinate meetings, appointments and travel arrangements for the CEO and other executive team members whenever required.
- Prepare and distribute meeting agendas, summaries and minutes to ensure effective communication and follow-up.
- Submit daily EOD and/or reminders to CEO.
- Assist with project management tasks such as tracking deadlines, coordinating resources and monitoring progress.
- Conduct research and collect/analyze data to support decision-making and provide valuable insights.
- Prepare and edit correspondence, reports, presentations and other documents as needed, ensuring accuracy and professionalism.
- Maintain databases and records, ensuring they are comprehensive, up-to-date and easily accessible.
- Manage and prioritize workload, effectively balancing multiple tasks and deadlines.
- Handle confidential information with discretion and maintain a high level of professionalism and integrity.
- Troubleshoot and resolve related issues to maintain a smooth workflow and productivity.
- Provide excellent customer service to internal and external stakeholders, fostering positive relationships and enhancing the overall experience.
- Fostering a sense of teamwork and collaboration by promoting open communication and supporting the CEO and executive team’s needs.
- Work on additional tasks as deemed relevant by the CEO at any given time
